MyMind is the first and largest blended, face to face and online model
of mental health care in Ireland putting Ireland at the forefront of
mental health innovation, MyMind has created a unique movement for
community-based mental health service. We work towards giving every

POSITION SUMMARY

We are looking to engage a Head of Operations with exceptional
capacity to oversee and manage all operational aspects of the company.
We envisage that the successful candidate will be a strategic thinker
with nuanced attention to detail, the ability to multitask and adapt
in a fast-paced environment, self innovative, organized and
self-motivated who works well under pressure and meets deadlines.

The Head of Operations is a?SENIOR ROLE?within the organisation and
has responsibility for formulating and implementing operational
policies and standard operating procedures, managing the operations
team (4 staff, in Dublin, Cork and Limerick). Analyse and manage
service capacity, managing the recruitment process for mental health
professionals.

Overseeing the various premises, clients feedback, mental health
professionals (MHP) activities and implementing technology solutions.
The Head of Operations must be a responsible leader with an analytical
and strategic mindset and a broad knowledge of the business.

The Head of Operations ensures that the organisation is running as
well as it possibly can, with a smooth efficient service that meets
the expectations and needs of clients.

Other duties and responsibilities include:

* A member of the executive team;
* Reviewing and designing operational policies and procedures,
* Dealing with complaints;
* Planning and controlling change;
* Planning and controlling capacity;
* Planning and controlling recruitment of mental health
professionals;
* Managing quality assurance programmes;
* Researching new technologies and alternative methods of
efficiency;
* Setting and reviewing budgets and managing cost;
* Facilities management

The Head of Operations proactively contributes to achieving business
goals through effective management of operations and collaboration
with others across the organisation regarding staff training,
recruitment, clinical, communications, budgets, and business
administration.

MANAGING OPERATIONS:

* Working with the CEO and other senior executive teams to formulate
strategies
* Manage and implement strategic plans in line with the
organisation's goals and mission
* Acquire and maintain a detailed knowledge of the company?s
policies, principles and strategies and keep up-to-date with relevant
developments.
* Review and design operational policies and procedures that align
with the overall strategy if needed
* Implement efficient processes and standards and complete action
plans; implementing service, productivity, quality and
customer-service standards; resolve problems; identify trends
* Maintain relationships with key external stakeholders.
* Manage projects, being responsible for guiding the success of a
project and leading the team that is responsible for implementing
it.?Set the strategy, roadmap, and feature definition for a product
or service.
* Manage all complaints; assisting employees in the handling of
complaints and devise ways of improving customer service.
* Maintain facilities ensuring a safe and healthy work environment
by establishing, following and enforcing standards and procedures;
complying with legal regulations.
* Manage and maintain a high level of quality in MyMind?s service.
Plan, direct and coordinate quality assurance programs and formulate
quality control policies.
* Compliance with relevant legal requirements by carefully studying
these requirements, enforcing company adherence, filing reports and
advising the CEO on the necessary actions.
* Manage contracts and relations with key clients, partners and
other stakeholders
* Oversee expenses and budgeting to help the organization optimize
costs and benefits
* Report on operational performance and suggest improvements
* Oversee the implementation of technology solutions throughout the
organization
* Mentor and motivate teams to achieve productivity and engagement
* Driving the business to increase service provision

MANAGING OPERATIONS STAFF

* Manage and supervise Ops Team in accordance with the organization's
policies and procedures.
* Support recruitment process for new Ops Team members if needed.
* Work with Clinical Manager with clinical reviews and quality
assurance
* Coach, mentor and develop staff, including overseeing new employee
onboarding and providing career development planning and
opportunities.
* Set out objectives/job expectations for employees. Provide
performance reviews in the form of feedback and disciplinary action in
cases of poor performance.
* Empower employees to take responsibility for their jobs and goals.
Delegate responsibility and expect accountability.
* Lead employees to meet the organization's expectations for
productivity, quality, and goal accomplishment.

HEAD OF OPERATIONS REQUIREMENTS:

* A minimum of a Master's degree in Business and Management or a
related field (essential).
* A minimum of 5 years of experience in Operations Management
(essential).
* Excellent written and verbal communication skills.
* Works well under pressure and meets tight deadlines.
* Understanding of the mental health sector and the sensitive nature
of promoting therapeutic services.
* Highly computer literate with capability in email, MS Office and
related business and communication tools.
* Excellent interpersonal communication and persuasiveness skills.
* Strategic and creative mindset.
* Meticulous attention to detail.
* Fluent spoken and written English.
* Eligible to work in Ireland.
