RECEPTIONIST & PERSONAL ASSISTANT TO THE EXECUTIVE DIRECTOR

PART-TIME

Alliance_, to provide support to people living with HIV, the SEXUAL
HEALTH CENTRE is now a leading organisation supporting and promoting
sexual health in Ireland.

The _Sexual Health Centre_ is now seeking an exceptional individual to
join our team as the role of part time receptionist and PA to the
Executive Director. We recognise that furnishing people with the
skills to effectively respond to sexual health issues is crucial to
overall wellbeing. In this role, you will have the opportunity to make
a significant contribution to the overall strategy of the _Sexual
Health Centre_.

The Sexual Health Centre has an ambitious programme for a future where
sexual health is recognised as an integral part of life, barriers to
access sexual health services are removed, social stigma and
discrimination are challenged, each individual feels safe to express
their sexuality, and people make informed decisions regarding their
sexual wellbeing and treat each other?s life choices with the utmost
respect. Our services provide free and confidential information,
counselling and support to help people make positive, healthy
lifestyle choices to improve their wellbeing.

The purpose of this role is to deal with all enquiries both on the
telephone and face to face in a proficient manner while understanding
that the client. The receptionist can often be the first point of
contact between the public and the organisation and as such plays a
pivotal role in promoting the values, ethos and services of the Sexual
Health Centre. The suitable candidate will also provide administrative
assistance to staff.

This is a fixed term, part-time contract until December **Apply on the

_RESPONSIBILITIES OF YOUR ROLE WILL INCLUDE:_

* Create an empowering, non-judgemental, positive and welcoming
atmosphere within the Sexual Health Centre
* Meet and greet all clients and visitors in a friendly and
courteous manner
* Deal with all client queries and manage an in-house appointment
booking system
* Liaise and co-ordinate with the Centre Manager, full-time
receptionist and counselling staff to ensure the smooth operation of
all services
* Work within the Sexual Health Centre?s internal pathways to
refer clients to the appropriate professional team member or external
service
* Support the delivery of one-to-one support, drop-in services,
condom demonstrations and helpline calls
* Provide personal assistant and administrative support to the
Executive Director
* Provide day-to-day office and administrative duties as require
* Prepare and collate materials for meetings, events, conferences
etc.
* Manage and update files in the company filing system
* Ad hoc administrative duties to support the team
* Data collection and collation for a variety of funders and
services as required
* Work within the Policies, Procedures Protocols and Guidelines of
the Sexual Health Centre
* Work within a GDPR compliant manner ensuring that client
confidentiality is paramount
* Represent the Sexual Health Centre at events, conferences,
meetings etc. when needed
* Ensure a healthy and safe working environment for clients and
other staff and maintaining a suitable atmosphere in reception to
enable clients to feel comfortable
* Engage with management and staff to help implement the Sexual
Health Centre strategic plan
* Perform other duties commensurate with the nature of the post. It
is important that all members of staff are prepared to take on
additional duties or relinquish existing duties in order to maintain
efficient running of the organisation.

_EDUCATION / PROFESSIONAL QUALIFICATIONS:_

* Excellent communication and presentation skills, with the ability
to collaborate with a wide range of stakeholders and to build strong
working relationships is essential
* Experience in busy environment where multi-tasking is important
* Excellent IT skills
* Excellent telephone manner
* Proficiency in Microsoft Office
* Analytical and problem solving skills
* High level English language and training skills

* You will be someone with a flexible working style with the ability
to respond effectively in a busy environment
* You will also be someone who can show empathy but have clear
boundaries
* Attention to detail in all areas of work is crucial
* Possess cultural awareness and sensitivity and have the ability to
work with diversity.
* Effective organisational and administrative skills.
* Understanding of the role of team work in providing a quality
service and the ability to work effectively as part of a team.

_TERMS AND CONDITIONS_

SALARY: Salary will be dependent on experience and qualifications.
CONTRACT: Fixed term, part-time contract to December **Apply on the

HOURS: **Apply on the website**.5 hours per week (Monday and Friday).
Due to the nature of the post, evening or weekend work may sometimes
be required.
HOLIDAYS: Holiday entitlement is **Apply on the website** days annual
leave, plus public holidays.

subject to Garda Vetting.

The receptionist will report to the Centre Manager.
