EXECUTIVE ASSISTANT

SUMMARY:

* Digital Action is looking for an Executive Assistant to support the
Executive Director and Operations Manager in planning and delivering
special organisational projects, and supporting the efficient
functioning of a new and dynamic organisation.
* The successful candidate will be based in Ireland, working
remotely with team members in Ireland, the UK and Lebanon.

THE ROLE: EXECUTIVE ASSISTANT

* Ensuring the smooth running of Digital Action on a day to day
basis, providing a wide range of administrative and logistical support
to the Executive Director, the Operations Manager and the wider
programme team.
* Leading on special organisational projects so that Digital Action
continues to grow and develop in its contribution to reforming
democracy for a digital age.
* This is an Operations role so it is important to point out that it
is not a route to campaign work.

RESPONSIBILITIES OF THIS ROLE WILL INCLUDE:

* Working alongside the Executive Director and the Operations Manager
to design and deliver special organisational projects such as external
evaluations
* Organising events such as advisory board meetings, joint donor
meetings, team away days, and other undertakings involving a number of
Digital Action colleagues and/or external contacts
* Processing payments, invoices, and payroll
* Organising travel and accommodation for team members
* Managing shared inboxes, helping the team prioritise new
connections that can strengthen our contribution to reforming
democracy
* Providing other administrative and logistical support to the wider
team
* Supporting the Executive Director with diary management
* Supporting the Operations Manager through recruitment campaigns
* Being proactive in suggesting and implementing administrative
improvements to support the team and organisation to work in a more
efficient and collaborative way

SKILLS AND/OR EXPERIENCE REQUIRED FOR THIS ROLE

* Ability to organise; prioritise and work efficiently in a virtual
team subject to changing priorities; proven experience managing
multiple projects, meeting deadlines, and using judgement and
initiative in problem resolution
* Excellent organisational skills and experience of
arranging/coordinating events such as meetings and conferences
* Detail-oriented and good at problem-solving in the dissemination
of information, the logistics of travel and organising meetings and
events, and managing multiple diaries
* Experience of providing executive support such as diary
management, coordinating meetings and ability to help prepare
presentations
* Experience of financial and administrative processes such as
invoice management, liaison with vendors or contractors, and expense
approval
* Experience of working with complex contractual arrangements
* Experience of financial administration for a not-for-profit or
for-profit organisation
* Experience of HR recruitment campaign processes
* Strong interpersonal and communication skills as part of a highly
collaborative approach

PRACTICALITIES

* LOCATION: Remote working role, based in Ireland and ideally within
easy reach of Dublin for in-person meetings with Operations Manager
and/or other team members (minimum of once per month). Local
government advice will be applied to all travel decisions. You will be
provided with all equipment needed to work remotely.

* REPORTING: This role will report to the Operations Manager. We do
not envisage there being line-management responsibilities.
