ADMINISTRATIVE ASSISTANT

(FULL TIME WITH FLEXIBLE WORKING HOURS)

Mercy International Association (MIA) serves groups of Sisters of
Mercy together with their

Associates and partners in Ministry from all over the world in working
towards a more just and compassionate world.

TITLE OF POSITION:? Administrative Assistant (with Company Secretary
Duties)?

HOURS OF WORK:? This is a full time office-based position with
flexibility around attendance patterns.??

There will be a requirement to be available for occasional evening
meetings scheduled in advance.? The office is located at Mercy
International Centre, **Apply on the website**a Lower Baggot Street,
Dublin.? MIA adheres to all government COVID restrictions and staff
may work remotely until restrictions are lifted.??

WORKING RELATIONSHIPS: ?The post holder will develop and maintain
positive, professional relationships with colleagues, and all whom
they are in contact with via email, phone, and in-person. The post
holder will be expected to work both independently and
collaboratively. Additionally, MIA has an office in New York, USA.
Collaboration with the NYC staff outside of standard working hours is
occasionally necessary to accommodate time zone differences.

POSITION OVERVIEW:? This position is primarily responsible for
providing comprehensive administrative support to the Board and
Executive Team of MIA.? From time to time the successful candidate
will also be required to take part in other projects, events, or
activities.? This post reports directly to the Chief Executive
Officer for day to day duties while liaising with the Office Manager
for administrative purposes ? i.e. scheduling of annual leave,
etc.?

KEY RESPONSIBILITIES:

* Coordinate, schedule arrangements for, and attend all Board of
Directors meetings including preparation of the agenda and materials
and drafting of the minutes.
* Work with the Chief Executive Officer to prepare, compile, and
deliver a wide range of documents and reports.
* Complete responsibilities assigned as the Company Secretary,
including MIA?s constitution.
* Ensure systems are updated with relevant data, maintaining
Statutory Registers, minute books, and records.
* Organise and complete all fillings for the Charities Governance
Code and related charity regulatory bodies.
* Ensure adherence to Company Registration Office (CRO) requirements
including the preparing and filing of Company Office returns.?
* As required from time to time communicate with programme
participants and assist with arrangements.
* As necessary, general company administration duties.?
* All members of staff are expected to support the day-to-day
activities and events of Mercy International Centre as required.

MIA will expect that the successful candidate will perform in the best
interest of the Association, act with reasonable care and skill, and
at all times maintain the confidentiality of Board proceedings.?

EXPERIENCE AND SKILLS REQUIRED:

* Previous experience in a similar role
* Strong administration skills
* Excellent Microsoft Office skills. Google Drive, Zoom, and other
relevant software helpful.
* Ability to multitask and work to deadlines
* Excellent communication and interpersonal skills
* Highly organised with excellent time management skills?
* Ability to work independently and as part of a team
* Work confidently under pressure while managing a competing and
demanding workload
* Ability to develop strong relationships with visitors and
colleagues
* Cultural awareness and sensitivity
* Respect for the Mission, Purpose, and Ethos of MIA
