REPORTING: To the CEO

CONTRACT: Full-time with 6-month probation

office-based work. This role will normally be based at one of our
city-centre campus locations)

QUALIFICATIONS AND EXPERIENCE: 3+ years experience Qualified
management accountant (desirable)

This is a 5 day a week position with a 6-month probation period, based
in Dublin. Due to Covid restrictions we are working from home until
further notice.

ABOUT TU DUBLIN SU

TU Dublin Students? Union is currently in a period of exciting
change with the development of the new state-of-the-art campus at
Grangegorman and having recently become Ireland?s first
Technological University.

TU Dublin Students? Union is unusual in Ireland in that the
operations of the Students? Union are run by a company limited by
guarantee. The company is owned by the Students of TU Dublin by virtue
of their membership of the Union.

The company does not involve itself with the Politics of the elected
representatives of the Students? Union and instead is tasked with
the operational functions of the Union including:

* Financial Management
* Human Resourcing
* Risk Management

Other administrative functions such as operational policy development
and office management

THE ROLE

As an organisation run for Students and by students, we expect the
role to maintain the ethos of the organisation in all work matters. We
are currently recruiting for a suitable person to join our team as
Finance Executive for TU Dublin SU CLG. They will work closely with
the CEO and a diverse team of elected Student Representatives as well
as within the full-time staff support. A key part to this role
Assisting the organisation as it migrates to
a?cloud-based?accounting package.

DUTIES WILL INCLUDE

* Overall Financial Management responsibility for the day-to-day
running of the organisation in conjunction with the CEO
* Liaise with the University on matters pertaining to the Funding
Agreement
* Manage the annual audit for the organisation
* Processing and managing Payroll
* Ensuring Revenue and any other Compliance responsibilities are
followed
* Assist preparing budgets, projections, reports etc for the CEO,
the Finance Audit and Risk Subcommittee and the Board
* Supporting the elected Officer and Management teams in overseeing
their budgets and providing advice and guidance as necessary

REQUIREMENTS

* 3+ years relevant financial management experience
* Systems experience; accounting packages, working knowledge of
Microsoft applications; excel is essential. Other systems experience
such as Salesforce (CRM databases) is also advantage
* Extensive experience of maintaining day to day books, familiarity
with computerised accounting systems, preparation of accounts working
with others, with internal and external audit requirements, charity
regulation, data protection regulations etc.
* Strong IT skills, in particular in-depth knowledge of Microsoft
Office, Accounts, Payroll
* Ability to interpret, analyse and summarise information. The
capacity to produce and present clear and accurate reports in a timely
fashion.
* Experience in implementing new accounting and management
information systems.
* Track record of improving accounting policies and processes in an
organisation.
* Project management skills and experience of managing projects to
completion.
* A record of accomplishment in leading/managing in an office
environment
* Diploma in Financial Management NCEA certificate or equivalent
Relevant accounting qualification (CIMA or ACCA, ICAI) would be
desirable but not essential

DESIRABLE

* Other systems Experience such as Salesforce (CRM databases) is an
advantage.
* Willingness to carry out tasks as required and develop additional
skills
* Experience of working in a Students? Union environment would be
an advantage but not essential

* Ability to deal with a high volume of transactions with experience
in reconciliations between accounts and other systems.
* Strong organisational skills and adaptability in a fast-paced

* Have strong problem-solving skills with a capacity to solve
problems creatively

ADDITIONAL ROLE DETAILS

* Post all transactions to the ledger and prepare monthly management
accounts and presentation of these to the Board of Directors

* Ensure that the balance sheet is reconciled as part of the
month-end close process

* Reconcile all bank accounts
* Reconcile credit card accounts
* Maintain fixed assets register
* Account for stock
* Reconcile all balance sheet accounts
* Prepare Income and Expenditure

* Process payment of creditors
* Managing and completing the payroll, process payroll payments
* Preparing invoices, purchase ordering, Revenue tax returns,
prepare bank reconciliations, generating receipts and other financial
administration tasks
* Ensure that the company maintains proper books and records as
required by Company Law

* Implement appropriate automation tools as required
* Manage the company?s Financial Affairs in line with the
company?s financial procedures
* Investigate irregularities and non-compliance issues and highlight
or escalate areas of concern to the CEO
* In conjunction with the CEO ensure that all insurances for the
organisation are renewed in a timely manner

FUNDING

* The company is funded by way of capitation from the University. The
Financial executive will be responsible for ensuring compliance with
the Funding Agreement.
* The Financial Executive will be responsible as the overall
relationship management point with the University and will escalate
any relevant matters with the CEO as appropriate

PAYROLL AND REVENUE

* Manage payroll and reconcile salaries and wages across the
organisation, including adjustments for PRSA?s, Union Dues, Taxsaver
Schemes etc
* Prepare VAT returns and ensure compliance with all statutory
financial obligations and manage Revenue RTD
* Prepare and file returns to Revenue and ensure compliance with tax
laws
* Ensure that the Tax Clearance Certificate is kept up to date

AUDIT

* Manage the annual audit process in conjunction with the CEO and
appointed Company Auditor including scheduling the audit, ensuring
that the relevant information is available for the auditor, and
attending any meetings as required

FINANCIAL PLANNING AND OVERSIGHT

* Preparation of annual budgets in conjunction with the CEO for the
organisation for each work area
* Assist in monitoring the cash flow of the organisation and
reporting to the CEO as necessary
* Develop budgets, forecasts, cashflow projections and business
models as required in conjunction with the CEO.

GOVERNANCE

* Submitting relevant files to the Company Secretary for filing with
the CRO.
* Assist in the maintenance, review and updating of an
Organisational Risk Register
* Manage and maintain the Fixed Assets Register for the Company
* Provide administrative support to the Finance Audit and Risk
subcommittee of the board of TU Dublin SU CLG or other relevant
committees as required
* Keep up to date and understand relevant laws and regulations,
particularly in relation to accounting and governance practices,
* Ensure that all financial and accounting policies are applied
consistently across all areas of the organisation.
* Review of business processes, increase efficiencies and implement
changes to processes, policies and internal controls as appropriate
* Develop and maintain a staff Manual on Financial policies and
procedures.

MANAGEMENT AND ELECTED TEAMS SUPPORT

Support other managers and staff with the following:

* Provide advice and support with regard to financial matters
* Identify and deliver improvements in financial and accounting
systems, processes and reporting
* Provide financial guidance and support for any other projects or
initiatives within the company
* Provide training as necessary to other staff members

KEY RELATIONSHIPS

The Board of Directors, the CEO, the Finance Audit and Risk
Subcommittee, the Management Team, Operations Exec, suppliers, Revenue
Commissioners, internal auditors, external auditors, University.
