FUNDRAISING OPERATIONS MANAGER

Reporting to the Directors of Fundraising & Marketing, the primary
objective of the Fundraising Operations Manager is to ensure delivery
of best in class fundraising performance across the organisation. The
role will be responsible for (1) the smooth and efficient operational
running of the fundraising and marketing team (2) implementation and
monitoring of policy and procedure to safeguard our brand and ensure
transparency and (3) will enable the wider fundraising team focus on
supporter engagement.

ROLE & RESPONSIBILITIES:

This role is of strategic importance in the delivery of the overall
fundraising, communications and brand strategy. The manager will lead
the team?s work to specific campaign and annual targets working with
third party marketing and communications agencies and utilising key
digital and social platforms including OUR CRM SYSTEM. This role will
play a vital role in a cross-functional fundraising, campaigns,
marketing and digital teams.

IMPLEMENTATION OF POLICY AND PROCEDURE

* Ensure CII codes of practice are fully implemented across the
fundraising and marketing team
* Translate organizational and fundraising policies into procedures
that can be understood and implemented across teams
* Create training materials and step by step guides to ensure clear
understanding of expectations and across the team
* Deliver and record training across teams to unsure clear
understanding of policy, procedure and implementation guides.
* Regularly monitor implementation of procedure, problem solve and
adapt as the fundraising landscape change
* Report on compliance to directors and work with managers to
resolve and escalate issues.
* Examine fundraising practices across the team, identify
opportunities for efficiency, secure support for change and deliver on
implementation

CRM, GDPR & DATA

* Ensure GDPR codes of practice are fully implemented across the
fundraising and marketing team.
* Work with Head of Operations & Finance and 3rd party contractors
to develop clear GDPR processes for every function across fundraising
and marketing.
* Work with 3rd parties to deliver training materials and step by
step guides to ensure clear understanding of expectations and
responsibilities
* Regularly monitor implementation of procedure, problem solve and
adapt as the fundraising landscape change
* Report on compliance to directors and work with managers to
resolve and escalate issues.

EXPENDITURE AND BUDGET MANAGEMENT

* Work with fundraising managers and finance team to manage, record
and report on fundraising and marketing expenditure.
* Put in place seamless fundraising and finance processes optimising
time spent by fundraisers with supporters
* Ensure compliance with Pieta?s procurement policy and procedure,
recording of tender process documents and reporting.
* Work with finance, fundraising and marketing team plus internal
and external auditors to provide accurate and timely information
during audit processes
* Report to fundraising managers and directors on monthly
expenditure

MANAGEMENT & FULFILMENT OF FUNDRAISING MATERIALS

* Ensure adequate stock of fundraising materials across the team for
all campaigns
* Manage contract negotiations and procurement for production,
fulfilment and distribution of fundraising materials.
* Ensure materials are delivered on time and in budget to all
stakeholders for all campaigns
* Ensure best practice implementation of distribution guidelines and
return of fundraising materials

TRAINING & DEVELOPMENT

* Develop induction plans, training materials and step by step guides
for new starters within the team
* Maintain and constantly update fundraising and marketing training
materials and step by step guides as regulations and practices change.
* Manage training requests, sharing of information post training and
training expenditure
* Support directors to organise, plan and facilitate monthly
fundraising and marketing team meetings

CROSS FUNCTIONAL WORKING

* Work within a diverse team with a range of skills sets and
objectives to deliver best practice fundraising against stretch
financial fundraising targets
* Balance workloads and ensure effective planning and prioritization
with managers in the delivery and adaption of procedure
* Support the fundraising team to increase time spent on donor
retention and relationship building by streamlining processes and
introducing efficiencies.

EDUCATION, SKILLS & EXPERIENCE REQUIRED:

* Third level degree in business or management is required
* Minimum 5 years? fundraising management experience, with
significant experience in leading on policy implementation, GDPR
compliance and introducing organizational efficiencies.
* Thorough understanding of GDPR and previous experience of leading
implementation of GDPR practices within a fundraising context
* A strong track record in cross functional working, working within
a high performance team, and leadership within a team setting.
* Highly developed project management skills and the ability to lead
and prioritise multiple projects and cross-functional teams.
* Proven experience of working with and understanding of CRM systems
and ensuring quality and actionable data
* Proven experience in developing training materials, manuals and
delivering training across teams with diverse backgrounds.
* Excellent presentation, reporting and communication skills

NOTE: As?Pieta?is a national organisation, this role may require
travel for work and a willingness to work?weekends, evenings and
unsociable hours will be required?at times.
