THE TRAVELLER COUNSELLING SERVICE IS A TRAVELLER SPECIFIC COUNSELLING
SERVICE THAT PROVIDES A CONFIDENTIAL COUNSELLING SERVICE TO MEMBERS OF
THE TRAVELLER COMMUNITY, IN SIX LOCATIONS IN THE GREATER DUBLIN AND
NORTH WICKLOW REGIONS AND ONLINE AND OVER THE PHONE TO TRAVELLERS
WITHIN THE **APPLY ON THE WEBSITE** COUNTIES.

ASIDE FROM COUNSELLING, WE PROVIDE MENTAL HEALTH TRAINING TO BOTH
TRAVELLERS AND MAINSTREAM SERVICES AND WE ADVOCATE ON BEHALF OF THE
COMMUNITY, FAMILIES AND TRAVELLER INDIVIDUALS IN TERMS OF MENTAL
HEALTH.

POSTITION ? PART-TIME OPERATIONS MANAGER

The role currently being advertised is that of a part-time Operations
Manager to support the Director of the organisation with the running
of the organisation and to oversee the work of the current Office
Manager.

JOB DESCRIPTION

The successful candidate will be expected to take a lead on the
following areas of work:-

COUNSELLING TEAM CO-ORDINATION

The TCS contracts 6 counsellors to provide our counselling and
supervision. Their work is challenging and the team require steady and
consistent support in order to provide the best service possible to
our clients. This aspect of your role will involve:-

* Supporting the General Manager as well as the wider team when and
as required
* Calendar & diary management, such as scheduling supervision
sessions, annual reviews with local groups, individual reviews with
counsellors etc.
* Organising & scheduling meetings and attending when required
* Overall management of the daily running of the counselling aspect
of the service including management of counselling website, referrals,
client notes, GDPR requirements
* Management of Salesforce database to manage client statistics and
development of statistical reports as required
* Co-ordination of training as and when required by counselling team
* Liasing with AACPI (Membership Body)

SECRETARIAL DUTIES TO THE BOARD OF MANAGEMENT

The Traveller Counselling Service has charitable status and is a
company limited by guarantee and managed by a Board of Management who
holds overall responsibility for governance and strategy. Your role as
Secretary to the Board of Management will include:-

* Organising board meetings, subcommittees, reporting and ensuring
board members are engaged and supported
* Management of all board related documents including minutes,
agendas, sending of reports etc
* Ensuring that board meetings are correctly documented and ran in
accordance with governance requirements
* Ensuring that CRO is updated annually
* Regular review of Board policies to ensure they are up-to-date and
being adhered to
* Management of board/governance related documents such as Conflict
of Interest Register, Complaints Register, Risk Register etc

GOVERNANCE

As a charitable organisation, the TCS is in the process of signing off
and becoming fully compliant in terms of governance. Your work in the
area of governance will include:-

* Taking a lead on the implementation of governance and policies
within the organisation
* Ensuring that TCS remains fully compliant with regulatory
obligations
* Management of policy review schedule and updating policies as
required
* Leading and managing organisational risks and designing and
managing responses
* Leading on data protection and GDPR compliance
* Engagement with Governance Sub Committee
* Attending governance related training as and when required

FUNDING

The Traveller Counselling Service is dependant on funding and
therefore relationships with funders are key. To this end, your role
will include:-

* Management of funder relationships, funding updates and funding
reports
* Development of funding proposals
* Investigation of relevant funding opportunities
* Supervision and development of funding and project budgets

GENERAL

We are a small but very productive team with many aspects to each role
within the organisation. In terms of your general duties as Operations
Manager, you will be responsible for:-

* Co-ordinating staff team and organisational strategic and
operational planning
* Providing support on strategic projects and innovations and
organisational priorities
* Oversee and support the Office Manager in the management of
accounts including budget preparation, preparing accounts for audit
etc
* Management of HR issues such as leave, annual increments, staff
contracts, staff appraisals
* Management of TCS website

SKILLS & ATTRIBUTES

The person who will fulfil this role will have some if not all of the
following attributes:-

* Excellent project management skills
* Ability to organise and prioritise a busy, heavy workload
* Proficiency with MS Office products such as Excel, PowerPoint,
Word
* Capacity for report writing
* Flexibility in terms of many aspects to the role
* Competent and confident communicator with capacity to communicate
in simple and clear terms
* Skills and experience managing budgets and management of funds
* Strong decision-making skills
* Good team-work skills that foster accountability, leadership and
inclusion

PERSON SPECIFICATIONS -

THE IDEAL CANDIDATE IS/HAS:-

* An enthusiastic motivated individual with capacity to work on own
initiative
* At least three years? experience in operations/office management
* Experience of and an understanding of Traveller culture and way of
life
* Understanding of the mental health and counselling and
particularly issues affecting the Traveller community in Ireland in
terms of mental health
* Excellent communication, report writing, facilitation and
presentation skills
* A good team worker with ability to work under pressure to meet
deadlines
* Human Resources and accounting/book-keeping experience preferable

TERMS AND CONDITIONS

* 2 ? 4 days per week, (flexible) with a possibility of increasing
hours dependant on workload and funding. Some out of hours work may be
required.
* 1 year contract with a 6 month probationary period
