PERSONAL ASSISTANT TO CEO

The Irish Foster Care Association is the national organisation that
supports foster families and the wider fostering community. We advance
and promote best practice in foster care through support, learning and
advocacy.

PA ROLE TO THE IFCA CEO

The role of the PA to the CEO is to proactively resource, co-ordinate
and provide the necessary support and backup to facilitate all areas
of the work of the Chief Executive, exercising the utmost tact and
confidentially.

When necessary to act as PA to the Chairperson of the IFCA Board

KEY DUTIES AND RESPONSIBILITIES:

* Provide day to day, confidential, administrative assistance to the
CEO.
* Anticipating and responding to the administrative and logistical
support needs relating to pending meetings, proactively preparing
document packs and summary briefing documents
* As relevant, act as the first contact for external bodies and
individuals who wish to communicate with the Chief Executive, ensuring
that the organisation is properly represented and seen as accessible
and responsive
* Liaise with Board members, consultants, management team members,
team and external organisations as necessity to facilitate the work of
the Chief Executive.
* Assist the Chief Executive in project-managing specific pieces of
work which may be outside the normal workload.
* Any other duties as may be required from time to time

SPECIFIC TASKS FOR THE CHIEF EXECUTIVE

* Develop and manage systems that provide effective support for the
Chief Executive, including diary management, scheduling and servicing
meetings, project planning and monitoring mail (and e-mail).
* Produce presentation materials for the Chief Executive as
required.
* Assist in events management as agreed
* Assist in the preparation of IFCA?s AGM
* Maintain records of staff time sheets and sick leave
* Provide secretarial support in areas such as correspondence,
reports, and minute taking care of all admin tasks such as
photocopying and compiling address lists.
* Ensure filing systems are maintained and updated and all
information stored in an accessible manner
* Maintain a filing system for the Chief Executive, both on paper
and on the computer network.

operational parameters set by the CEO

EXPERIENCE AND QUALIFICATIONS

_ESSENTIAL_

* 3 years minimum, previous PA/Executive Assistant experience.
* Exceptional communication skills, verbal and written.
* Excellent interpersonal, time management and organisation skills.
* Ability to multitask and prioritise conflicting work.
* Ability to plan and anticipate situations.
* Ability to deal with sensitive and confidential information with
the utmost level of integrity.
* Experience of development of productive and open relationships
with organisational stakeholders at multiple levels based on engaging
and effective communication.
* Proficient in MS Office suite.
* Knowledge of CRM and SharePoint
* A flexible approach to hours required including the ability to
attend evening and weekend meetings and to undertake occasional travel
or overnight stays.

_DESIRABLE_

* A relevant qualification particular to the role
* Third level qualification
* Ability to be adaptable and to perform in a pressurised setting.
* Ability to work on one?s own and also to work as part of a team.
* Experience in digital/online media implementation.
* A knowledge and understanding of fostering, childcare or related
work.
