ROLE & RESPONSIBILITIES:

The main objective of the role is to provide senior administration
support to Pieta?s Campaigns team by managing Darkness into Light
International venues and committees. This role will involve working
closely with International Volunteer Committees and Partner Charities
as well as Pieta?s own campaigns, PR, finance and fundraising teams.
The Darkness Into Light International Lead will be responsible for all
administration related to Partner Charity vetting and payments, file
management, risk mitigation, relationship management with
international and local stakeholders and for ensuring a positive
experience for volunteers and participants of Darkness Into Light at
our International locations.

* Work with our legal advisors to update and deliver a Darkness into
Light **Apply on the website** International Partner Charity Agreement
* Administer partner charity payments ? confirming details,
requesting bank details, liaising with Finance team to ensure accurate
and timely payments, record keeping and follow up as required.
* Conduct a review of existing Partner Charities to ensure that they
properly comply with the conditions of funding as set out in the
Partner Charity Agreement, notify manager of any concerns of
non-compliance and agree pathway forward.
* Ensure all partner charity documentation is appropriately
completed, carry out external web based research to ensure documents
provided match charity status and fulfils our requirements.
* Liaise with Partner Charities and Committees on the successful
completion of a signed Partner Charity Agreement and provision of
other supporting documents within the agreed timeframe. Accurate and
timely file management of all documents for risk and audit.
* Create and update all documentation relating to DIL International
venues for committees and partner charities
* Develop process documents, which clearly set out the processes for
vetting, liaising with, making payments to and working with partner
charities and committees.
* Work with DIL Campaigns team and partner charities to ensure that
the DIL website has the appropriate functionality and content to cater
for our international participants, including provision of all Partner
Charity Bios, URLs, Logos etc.
* Plan and schedule meetings with international committees and
partner charities, support content development for meetings and
circulate actions and decisions post meetings.
* Work with our call centre to resolve issues experienced by DIL
International participants
* Validate and test International features on DIL Website in each
local currency
* Monitor International Committee Social Media to ensure accurate
promoting of the event
* To undertake such other duties as might be reasonably assigned
from time as required by the Campaigns Team to deliver successful
fundraising campaigns for Pieta.

EDUCATION, SKILLS & EXPERIENCE REQUIRED:

* Three-year? experience in a fundraising administration or a
general administrative role
* Excellent relationship building skills
* Strong MS Office skills
* Office Administration FETAC Level 5 OR Diploma in Customer
Services or equivalent
* Enthusiastic, warm friendly manner
* Excellent organisational and administration skills
* Excellent customer service and communication skills
* Ability to work under pressure, prioritise & multi task while
maintaining meticulous attention to detail
* Collaborative team ? player
* Ability to learn on the job
* Knowledge of, or interest in the work of Pieta and charity sector

NOTE: As?Pieta?is a national organisation, this role may require
travel for work and a willingness to work?weekends, evenings and
unsociable hours will be required?at times.
