DEPARTMENT: Child Safeguarding and Protection Service (CSPS)

POSITION: Administrator

REPORTING TO: Director, CSPS

SALARY: DOE

ROLE AND RESPONSIBILITIES:

1. GENERAL

To take responsibility for the day to day running of the office of the
CSPS to include:

* Receiving enquiries by phone and email and responding to them in a
prompt and friendly manner;
* Processing incoming and outgoing mail;
* Ensuring that office equipment is in working order and reporting
faults as appropriate;
* Ensuring an adequate supply of office supplies and materials;
* Providing assistance to other team members including the Training
and Compliance Manager and the Vetting Coordinator, as required.

2. CASE MANAGEMENT

To assist the Director and Safeguarding and Support Officer in all
aspects of the management of child and vulnerable adult protection
concerns that arise within a diocesan context, to include:

* Being, in many instances, the first point of contact for people
wishing to disclose abuse and responding in a sympathetic and
sensitive manner;
* Maintaining the CSPS case management database and ensuring that it
is up to date;
* Taking responsibility for the internal notification of child and
vulnerable adult protection concerns;
* Attending, from time to time, meetings with those who wish to
disclose abuse in order to record their disclosures;
* Attending case management and team meetings and taking minutes;
* Attending meetings of the Respondent Supervision and Support
Committee (RSSC) and the diocesan Advisory Panel (?the Panel?) on
Child Protection and taking minutes;
* Preparing for meetings of the Panel with the Director and
Safeguarding and Support Officer by preparing and distributing reports
to Panel members in advance of the meetings.

3. VETTING

To assist the Vetting Coordinator in the discharge of her
responsibilities to include:

* Becoming accredited as a Liaison Person with the National Vetting
Bureau in order to be able to deputise for the Coordinator in her
absence and to assist her at times when the demand for processing of
vetting applications is high;
* forwarding on to the Coordinator applications received in the
office as well as any other messages or correspondence received.

4. TRAINING

To assist the Training and Compliance Manager in the organization of
training as and when required and as and when circumstances allow,
given the other demands of the position.

5. OTHER

* To carry out such other duties as may be required from time to time
as requested by the Director or, in his/her absence, the Safeguarding
and Support Officer.

SKILLS, EXPERIENCE AND PERSONAL QUALITIES REQUIRED:

* The person appointed should have relevant qualifications and skills
in office management and information technology. In particular, the
person should have a good working knowledge of Microsoft Office,
including Word, Excel and Access;
* He or she should be able to type from a Dictaphone;
* He or she should be sympathetic to the goals and ethos of the
Archdiocese of Dublin and committed to the safety and welfare of
children and vulnerable adults and to the care and support of those
who have suffered abuse;
* He or she should have the capacity to deal with distressing
material and to look for and accept support when required;
* He or she should also understand the need for confidentiality and
data protection and adhere strictly to these requirements.

While the post involves working normal office hours, availability
before or after normal working hours or outside of normal working days
is required, though only on an occasional basis.
