EXECUTIVE ASSISTANT

We are seeking a passionate Executive Assistant to join the Pieta team
working toward a world where suicide, self-harm and stigma have been
replaced by hope, self-care and acceptance.

The Executive Assistant will provide high level professional support
to Pieta's Chief Executive Officer and to the Board of Directors.

LOCATION: Head Office, Greenhills Road, Tallaght

ROLE & RESPONSIBILITIES:

* Compilation of materials for submission at Board meetings and
sub-committee meetings as well as detailed minute taking at all of
these meetings
* Day to day diary management for the CEO
* Providing an efficient administrative support service to the CEO
including, responsibility for the scheduling and management of
appointments and meetings within a rapidly changing set of priorities
and demands
* Acting as the first point of contact for incoming queries from
internal and external stakeholders. Where appropriate, actively
managing queries and responding on behalf of the CEO
* Issuing outgoing communications from the CEO to all areas of the
organisation including all-staff briefings and recording of same to
ensure clear and professional messaging and the effective
dissemination of information
* Checking invoices and supporting compliance with procurement
procedures
* Managing the filing and retention of all documentation, as
necessary. Assist with proof-reading and editing of reports.
* Manage weekly, monthly and quarterly reports for distribution to
relevant stakeholders
* Booking and arranging accommodation and meeting space as required
for the CEO and Board of Directors
* Day to day processing of expenses, leave requests etc for the CEO
* Act as the contact point for the Chair of the Board and the
Trustees to support them in carrying out their duties to Pieta
* Booking meeting venues, organising agendas, and liaising on
logistics for Board and Sub Committee meetings

SKILLS & EXPERIENCE:

* Competence in an Executive Assistant/Personal Assistant/Senior
Administrator role
* A strong communicator with the ability to communicate across all
levels
* High degree of expertise in time management and prioritization
* Highly organised with excellent administrative skills
* Demonstrates attention to detail and shows concern for accuracy
and quality of work produced
* Motivated, self-starter with the ability to work on own initiative
and ability to manage and prioritise own workload
* Ability to work in a fast-paced environment and work to tight
deadlines
* Hardworking, flexible, and adaptable in their approach
* Demonstrable experience and superior working knowledge of
Microsoft Office applications Word, Excel, PowerPoint, and Outlook
