COORDINATOR (PART-TIME)
The National Voluntary Drug and Alcohol Sector (NVDAS) is a network of
civil society organisations working in the area of drugs and alcohol
in Ireland. NVDAS member organisations have a central role in the
provision of an integrated public health response to substance use in
Ireland today. NVDAS and its members have a formal role in effectively
participating in the delivery of Ireland?s National Drugs Strategy,

recruiting a part time Coordinator.
TITLE: NVDAS Coordinator (part-time)
EMPLOYMENT DETAILS: The post holder shall be employed by an NVDAS
member
REPORTING RELATIONSHIP
The post holder shall report to the NVDAS Chairperson
The NVDAS Steering Committee shall collaborate and provide guidance
through an annual work plan for the position
The postholder shall work with key stakeholders in the delivery of the
NVDAS Workplan

POST LOCATION: Negotiable
ROLE
To provide a highly professional and wide-ranging administration and
project management supports to the NVDAS Chair and key stakeholders.
This position is often privy to confidential information and, as such,
requires diplomacy and discretion.
MAIN DUTIES/RESPONSIBILITIES
* Act as the first point of contact for NVDAS, proactively reviewing
and tracking incoming enquiries such as emails, invitations and
correspondence. Responding directly in collaboration with NVDAS key
stakeholders, providing clarity of outcomes/actions.
* Manage the NVDAS email inbox to ensure all important
communications are flagged and receive a response. Refer
correspondence and calls to other appropriate individuals as required.
Disseminate information to NVDAS Steering Committee as required and
maintain a system to ensure action is taken by the committee.
* Provide high level secretariat support to key internal and
external meetings involving NVDAS key stakeholders, including
preparing agendas, co-ordinating or writing papers, producing minutes,
and ensuring follow-up actions are progressed.
* Maintain a coordinated and up-to-date calendar for NVDAS forums.
Organise and schedule meetings with members and external stakeholders.
Attend meetings with the Chair / Steering Committee members as
required to record meeting outcomes and follow-up actions.
* Act as liaison between the NVDAS and formal structures established
under the current National Drug and Alcohol strategy, including the
provision of support to NVDAS nominees to national structures.
* Develop, utilise, maintain and update a system aimed at supporting
members of the NVDAS to provide input on key policy and sectoral
issues.
* Prepare correspondence, reports, memos, and presentation material
as required, noting the need for accessibility in all documentation
from all sources.
* Develop and maintain NVDAS?s paper and electronic filing and
information systems.
* Maintain NVDAS database of members and update it regularly.
Actively promote the role as the contact point for NVDAS members
interested in national drug and alcohol policy and service delivery.
* Produce draft written publications, reports, position papers,
statements and media releases which reflect the views of the NVDAS.
* Keep information on the website up to date and stimulate debate on
NVDAS website through blogs and social media strategies.
* Grow the NVDAS social media profiles on Twitter, Facebook, Linked
and provide analysis monthly on their reach.
* Create multimedia content on CANVA (Low-cost infographics package)
strictly adhering to our branding guidelines (e.g., social media
graphic, flyers, posters etc.,)
* Ensure all communications and data management processes are in
compliance with the requirements of the General Data Protection
Regulation.
* Maintain all relevant lobbying information, capture same across
the organisation, and ensure that the organisation meets its
requirements under legislation.
* Participate in regular supervision, internal/external meetings,
training events etc., as directed.
* Undertake any other duties that may be required to fulfil the
requirements of the role and meet the needs of the membership.

verbally and in writing) and highly computer literate.
YOU WILL:
* Have at least 2 ? 3 years? experience in a similar role.
* Be a self-starter, capable of acting on own initiative and
proactively managing competing demands and pressures and able to
multi-task effectively.
* Be able to work collaboratively, with a range of colleagues in the
wider organisation, as well as with external stakeholders.
* Have experience in social media and modern communication
technology.
* Demonstrate a high level of accuracy, efficiency, and attention to
detail.
* Show flexibility and willingness to undertake varied
responsibilities.
* Demonstrate the ability to handle highly sensitive business
communications, data and other information with confidentiality and
discretion.
* Demonstrate a high level of numeracy and ability to analyse
statistical and financial data.
* Have a well-placed sense of judgement and political skills, with
the ability to exercise absolute discretion.
* Have strong attention to detail.
* Have highly competent IT skills across standard Microsoft
packages.
* Be able to work flexibly, occasionally having to work early or
late.
* Adhere to the policies and management structures of the host
organisation.
* Continuously develop the role in conjunction with your line
manager.
* Participate in regular supervision, internal/external meetings,
training events, conferences and other functions as directed by a
manager.
* Ensure that all policies and procedures are being adhered to,
particularly those relating to Health and Safety, Complaints, Code of
Practice and Confidentiality.
* Conduct your work in a professional manner at all times.
* Undertake any other duties that may be required which are
commensurate with the role as directed by a manager.
