JOB DESCRIPTION

JOB TITLE - RECEPTIONIST

_SPECIFIC ASSIGNMENT ? FRONT OF HOUSE/ RECEPTION AND ADMINISTRATION
ASSISTANT_

REPORTING RESPONSIBILITY:

The appointee_ _will work as part of the team of_ _Kilkenny LEADER
Partnership (KLP) in the advancement of its mission leading integrated
local development in County Kilkenny. The appointee_ _will have
responsibility for the reception area, acting as the first point of
contact for the company. You will also be required to carry out
various administrative functions as part of that role. These include
the following identified specific duties and others that are pertinent
to the efficient and tidy operation of the office?s systems, and
particularly the reception area.

SPECIFIC DUTIES INCLUDE:

* Meet, greet and direct as first point of contact, those visitors,
clients and service representatives attending the office.
* Answer the main office phone switch, transferring calls to
relevant person, and in their absence taking and passing on messages.

* Ensure that reception area and its environs are kept tidy, free
from clutter, obstacles etc. in line with the Company Health & Safety
procedures
* Management of incoming and outgoing post.
* Management of the stationary stock, cleaning materials, and
ordering of same in conjunction with Financial Coordinator.
* Receive deliveries of stationary and related stock and ensure it
is stored in the correct place.
* Upkeep and stock control of cameras, projectors, and other small
equipment, ensuring that electronic battery-operated equipment is
charged and ready for use at all times.
* Assisting the Financial Administrator and Financial Coordinator,
by copying, filing transfers and other documentation as requested.
* Assisting in the arrangements for Board meetings, issuing of
notifications along with relevant paperwork, and reminders of same.?
Ensuring the venue is set up as required for the event.
* Maintaining data base of KLP membership, updating as required.
* Booking internal meeting rooms as required for meetings within the
organisation, and external meeting rooms as required.
* Booking external meeting rooms for the Management Team as
requested.
* Participate in training on the company financial systems and other
monitoring systems as may seem appropriate.

GENERAL DUTIES

* To carry out all other duties and tasks that the Company?s
management may reasonably ask you to undertake.
* To attend meetings as requested as part of the staff team.
* To document work in a manner that is in accordance with best
practice and in line with Company requirements.
* To participate in annual review of assignment responsibilities.
* Participate in training and development programmes / courses where
such are deemed necessary by the Company.
* Adhere to KLP procedures and policies.
* Assist in the organisation and hosting of occasional events, some
of which may occur outside office hours, and to attend and assist when
reasonably requested.

KEY REQUIREMENTS:

* Excellent ICT and administrative skills,
* Ability to work on own initiative and self-motivated.
* Ability to work as part of a team
* Excellent communication skills
* Previous work experience in similar position.

OTHER USEFUL SKILLS:

* A knowledge of accounts and experience of working with accounts IT
packages.
* A knowledge of, and experience of working with data bases and
?customer relationship management? (CRM) systems.
