IRISH HAEMOPHILIA SOCIETY

friends who felt the need to provide support and advice for members
and to improve the quality of life for people with haemophilia. The
Society has grown from an informal and voluntary group of parents of
people with haemophilia who wanted a better deal for their children,

VACANCY

JOB TITLE: EVENTS CO-ORDINATOR (FULL TIME)
POSITION: PERMANENT WITH A PROBATION PERIOD OF 6 MONTHS
SALARY: COMMENSURATE WITH EXPERIENCE
LOCATION: DUBLIN 8

KNOWLEDGE, SKILLS & EXPERIENCE REQUIRED

The successful candidate must have a minimum of two years?
experience working as an Event Co-ordinator in an office environment
and must be able to demonstrate:

* Proficiency in Microsoft Office and must have good IT skills.
* Excellent administrative skills and multitasking ability.
* Excellent communication and presentation skills, both written and
verbal.
* Self-starter:?proven initiative and demonstrated the ability to
develop and deliver.
* Good time management skills.
* Good interpersonal skills.
* Have the ability to work in a team and on own initiative when
necessary.
* A highly organized individual is required with the ability to
prioritize with good attention to detail.

JOB DESCRIPTION

Event Management to include:

* Sourcing venues for conferences and events including site visits,
negotiating costs and contracts with venues.
* Drafting requirement specs and organising logistics for
conferences and events.
* Producing mailshots for conferences and events to include a letter
of invitation, programmes, booking forms and other documentation.
* Processing registrations and payments for events and conferences,
by email, phone and online.
* Producing confirmation letters, final programmes, in-house
spreadsheets and all other relevant documentation for conferences and
events.
* Liaising and finalising contracts and function sheets with venues
regarding logistics, requirements and function sheets for events and
activities.
* Attending conferences and events as required.
* Other event management logistics as required.

THE ROLE WILL ALSO INCLUDE

* Administration for CEO & Administrator
* General Administration including:
* Assist with postal mailshots when required.
* Assist with general office administration when required.
* Act as stand-in person when the receptionist is on leave.
* Act as stand-in person for logistics around bookings for apartment
facility for members when necessary.
* Assist with updating the database when required.
* Assist Children?s Programmes Co-ordinator with the logistics of
running children?s programmes at events.
* Assist Volunteer Co-ordinator with the logistics of running the
children?s programmes at events including Child Protection training
and Garda Vetting for all volunteers.
