OFFICE MANAGER IN COUNSELLING SERVICE 
(CARLOW & SOUTH LEINSTER RAPE CRISIS CENTRE (CHARITY)

JOB TITLE: Office Manager

REPORTING TO: Director of Services

JOB TYPE: * hours

The Office Manager oversees and manages office operations, ensuring
smooth day-to-day functioning of the office and counselling service.
Reporting directly to the Director of Services, this role is crucial
for maintaining an effective office in this increasingly regulated,
sensitive environment of the counselling service organisation.

KEY RESPONSIBILITIES

OFFICE ADMINISTRATION:

* Manage daily administrative tasks and office operations.
* Ensure timely completion of office outputs.
* Handle correspondence (emails, phone calls, mail).
* Maintain organised up-to-date documentation templates, and filing
systems and ensure all records are secure.
* Provide administrative support to staff and management.

FINANCIAL ADMINISTRATION:

* Oversee budget preparation and expense tracking.
* Oversee standard office procurement needs.
* Oversee invoices, payments, and payroll processing.
* Ensure accurate financial reporting in coordination with the
Director of Services.

COMMUNICATION AND COORDINATION:

* Act as a contact point for internal and external stakeholders.
* Facilitate communication with the Director of Services and
external partners.
* Support staff adherence to organisational policies and procedures.

ESSENTIAL QUALIFICATIONS

* Experience/qualification in Business Administration Management,
Counselling, or a related field.
* Minimum 2 years of experience in office or team management.
* Proficiency in Microsoft Office and office equipment.

SKILLS AND COMPETENCIES

* Excellent interpersonal and communication skills.
* Strong problem-solving abilities and attention to detail.
* Ability to work independently and as part of a team.
* High level of discretion and ability to handle confidential
information.
* Effective time management and task prioritisation.
* Knowledge of health and safety regulations.
