PEOPLE OFFICER

BASED IN OUR DUBLIN HEAD OFFICE

1. ROLE

The People Officer will be a key member of the People Team, reporting
to the People Partner. The successful candidate will be responsible
for the recruitment of both staff and volunteers as well as other
general duties.
The People Officer will support a culture of continuous improvement by
being service oriented, coordinating special projects and deploying
best practice HR initiatives across the organisation. Being the first
point of contact for HR queries. The People Officer will be
responsible for a suite of office management duties.

2. KEY AREAS OF RESPONSIBILITY

_HR DUTIES_

* Liaise with the senior management team and other managers to
deliver HR support throughout the organisation
* Providing HR advice and support to managers and employees,
explaining procedures and policies in a timely and effective manner,
escalating when required
* Ensuring accurate employee and recruitment records are maintained
on both electronic and paper based.
* Ensure efficient use of online HR systems to meet the
organisations goals
* Oversee and complete the recruitment process; job descriptions,
job adverts, shortlisting, interviews, and contracts
* Processing new hires, terminations, probation, absence, and
holiday and status changes accurately and efficiently on both
electronic and paper based systems
* Assisting in the development and update of HR procedures and
policies in line with evolving legislation, ensuring policies and
practices are complaint with NI employment legislation and EU
regulatory obligations
* Providing HR data for and preparing management information reports
and documents
* Preparing, reviewing, interpreting, analyzing and approving a
variety of HR data, and reports, then making recommendations depending
on findings

_VOLUNTEER DUTIES_

* To carry out all elements of the advertising, recruitment and
induction of volunteers and students
* To take part in the coordination of volunteers to assist them on
completing activities for Depaul
* To work with all Depaul services and support departments to
identify volunteer needs, draw up role descriptions and recruit for
these needs
* To respond to the training needs of the volunteers
* To be part of the coordination and development of the student
placement programme
* To provide support and training to staff (volunteer liaisons) who
manage volunteers in services and support departments
* To keep up to date with local, national and European trends and
changes to legislation regarding volunteering
* To support management creating strategic annual service delivery
plans
* To support the submission of funding applications as and when
required
* Along with service management to ensure the Health and Safety of
volunteers

_OFFICE MANAGEMENT DUTIES_

* Answering incoming calls and meet and greet visitors
* Ensuring Health and safety of the Office, carrying out monthly and
quarterly checks
* Maintain office supplies/equipment- order stationery and other
items for the office
* To oversee outgoing and incoming post

_ORGANISATIONAL DUTIES_

* To support other functions of the People and Organisational
department when required
* To contribute to the monthly and quarterly reports relating to
your work areas
* Contributing to People & Organisational projects as and when
required
* Ensuring the ongoing implementation of the fundamental purpose and
ethos of Depaul
* To ensure that all Depaul policies and procedures are being
adhered to, particularly those relating to Health and Safety, Code of
Practice and Confidentiality
* To contribute to the effective implementation of the
Organisation?s Equal Opportunities Policy
* To at all times undertake your role in a professional manner
maintaining a high quality standard of work, and to always work in
accordance with the aims, values and ethos of Depaul

3. PERSON REQUIREMENTS

_EDUCATION_

* 3rd level qualification or equivalent (ideally relating to HR or
Business Support)

_EXPERIENCE_

* A least 2 years? paid experience in an office management,
business administration role
* Experience working within a team managing both staff and
volunteers
* Experience of the recruitment of both staff and volunteers
* Experience of working within the social care, not for profit
sector (desirably within homelessness)

_SKILLS_

* Excellent oral and written communication skills with an ability to
create HR communications appropriate for the audience
* Creative and energetic with the ability to work on own initiative
* Excellent time management / enabling to balance a varied workload
and to prioritise
* Excellent negotiating, influencing and people skills
* Excellent numerical and analytical skills
* Excellent team skills
* Proficiency in Microsoft Office, particularly Word and Excel

_KNOWLEDGE_

* Knowledge of HR functions (employee? employer relations,
recruitment, training & development etc.)
* Understanding of employment law and legislation
* Understanding of grievance and disciplinary procedures
* Understanding of end to end recruitment
* Understanding of volunteering and management of volunteers

_CIRCUMSTANCES_

* Flexibility and ability to work collaboratively across all
departments
