JOB TITLE: CO-ORDINATOR

JOB SUMMARY: Co-ordinator works closely the Manager of Meath
Travellers Workshop, CYWS Hall, Fairgreen, Navan, Co Meath.

RESPONSIBLE TO: The Manager of Meath Travellers Workshop

SUPPORT TO THE MANAGER

To provide a strictly private and confidential personal assistant role
to the Manager of Meath Travellers Workshop by assisting the Manager
in achieving the Long, Medium and Short-term Goals.

* Provides a comprehensive business support service to the Manager.
* Devises and maintains office systems, including data management
and filing.
* Screens phone calls and responds to enquiries and requests.
* Meets and greets visitors at all levels of seniority.
* Organises and maintains the Manager diary and makes appointments.
* Deals with incoming emails and post, often corresponding on behalf
of the Manager
* Carries out background research and presents findings
* Organises and attends meetings locally on behalf of Meath
Travellers Workshop and/or the Manager.
* Carries out specific projects and research.
* Works closely with the Board of Directors
* Is actively involved in decision-making processes when appropriate
* To Link in with the Finance administrator regarding payments and
payroll

INTERNAL COMMUNICATION

Responsible for effective communications of Staff of Meath Travellers
Workshop by producing and delivering messages and campaigns on behalf
of the Manager.

* Establishes an internal communication strategy in conjunction with
the Manager
* Ensures organisational initiatives and projects are successfully
communicated to employees
* Plans, edits, and writes content for a variety of internal
communications, such as a staff notice Board or regular email
bulletins.
* Delivers presentations at organisational events, such as Staff
Meetings etc.
* Ensures internal communications messages are consistent across all
departments of Meath Travellers Workshop.
* Handles the internal communication response to crisis situations,
which could affect Meath Travellers Workshop and/or its staff.

GOVERNANCE - SUPPORT THE BOARD OF MEATH TRAVELLERS WORKSHOP

Supports the Board of Meath Travellers Workshop in terms of meeting
organisation, minute taking and any sub-groups and working groups of
the Board.

* Taking of minutes at Board Meetings and completion of draft minutes
within specified timelines
* Preparation of draft agendas, and other documents (as required).
* Tracking of attendance, quorum, agenda item requests in accordance
with established processes
* Organize corporate meetings; orchestrating conference calls,
preparing presentations, catering requests and minute taking.

POLICY DEVELOPMENT

Proactively develops, drafts, and recommends corporate policies,
standards, and programs to ensure effective operations, to enable
prudent decisions, and promote a workplace of excellence on behalf of
the Manager.

COMMUNITY ENGAGEMENT:

* In conjunction with the Manager, to undertake liaison with relevant
agencies on issues of ongoing programme support to Meath Travellers
Workshop.
* Meets with new groups and individuals to encourage uptake of
available supports delivered by Meath Travellers Workshop.
* Supports local groups and individuals to engage with Meath
Travellers Workshop.
* Establishes and maintains effective working relationships with
community organizations and local government agencies ? see appendix
2.
* Represents Meath Travellers Workshop at meetings and functions.
* Prepares various narrative and statistical reports, newsletters,
and educational materials for the Company?s annual report and when
requested.
* Provides information and makes presentations to the community.

FUNDING DEVELOPMENT AND VOLUNTARY FUNDRAISING:

* Co-ordinates the full range of activities required to prepare,
submit, and manage grant applications.
* Conducts research on potential funding sources.
* Works with the Finance Administrator to gather the information
necessary to report on funding grants.
* Complies with all grant reporting as required.
* Assists with fundraising projects as requested.
* Acts as a signatory for procurement.

COACHING

Coaching of selected and adequately trained CE Staff. Coaching to
select CE Staff on basic administrative and secretarial functions

PREMISES MANAGEMENT

* Day to day management of the MTW Premises
* Equipment and Materials Procurement
* Health and Safety and Fire Officer
